Terms and Conditions

The “Hirer” means the person(s), organisation or company booking the equipment with the We Love Occasions.

The “Client” means the person(s), organisation or company booking the equipment with the We Love Occasions.

The “Company” means We Love Occasions, trading as We Love Occasions.

The “Equipment” means the photo booth, bouncy castle, magic mirror, dance floor, led letters, chocolate fountain, DJ, uplighters, computer, camera and printer, sweet carts, children's soft play, candy floss and popcorn machines, last man standing and all accompanying accessories.

These Terms & Conditions set out an agreement between the Hire Provider (We Love Occasions) and the Hirer (the person, organisation or company booking the equipment for hire from the Hire Provider). Upon booking (either verbally or electronically), it is deemed that the Hirer has read, fully understood, and agreed to the Hire Providers Terms & Conditions.

Equipment consists of any item of hire, including props and accessories. All equipment remains, at all times, the property of We Love Occasions. All our equipment is for indoor use only in a weatherproof area on dry, level, hard surface flooring/ground, unless confirmed in writing otherwise.

Making any payment to We Love Occasions is an agreement of our terms and conditions.

BOOKINGS

1.1 By booking with We Love Occasions either verbally or in writing, including email or online, it is deemed that the Hirer has thoroughly read, understood, fully agreed and is bound by all our terms and conditions of hire for the equipment.
1.2 If traffic or other any other uncontrollable circumstances prevent us from being able to achieve our contracted responsibilities, our liability shall be limited to a refund of any monies paid in relation to the cost of hourly upgrades or a pro rata reduction in the hire fee in the event of a delayed start. No further compensation will be paid irrespective of any loss of earnings.

PRICES, DEPOSIT AND BALANCE PAYMENTS

2.1 All hires are subject to a non-refundable deposit per item unless agreed otherwise in writing. This deposit will be deducted from the final hire fee.
2.2 The balance shall be paid in full and cleared no later than 28 days prior to the event start date unless informed otherwise in writing.
2.3 Advertised prices are subject to change without prior notification.
2.4 Hire charges include setting up the equipment 30mins to 1.5 hours before it becomes operational. If the equipment is to be set up earlier then additional waiting charges may be incurred.
2.5 If the payment contract is not met, We Love Occasions hold the right to cancel, suspend or add interest on any outstanding payments. Payments with added interest will be added to the invoiced amount and will be increased over the course of the balance not being paid.

2.6 If deposit payments are not made within 24 hours of the invoice being sent, the items will not be secure and open for other clients to hire.

2.7 Please note if our company has to go VAT registered, future payments may incur a VAT charge.

CANCELLATIONS

3.1 Any cancelled hire is subject to the following cancellation charges:
3.2 If the Hirer cancels any time after booking an item(s) the deposit is then non refundable and will be kept as admin charge.
3.3 Within 8 weeks prior to the event – 25% of the agreed hire price,
3.4 Within 6 weeks prior to the event – 50% of the agreed hire price,
3.5 Within 4 weeks prior to the event – 75% of the agreed hire price
3.6 Within 2 weeks prior to the event – 100% of the agreed hire price

3.7 In regards to bad weather we (the Company) will assess the conditions and if possible forewarn you if we believe we may have to cancel the booking due to high winds or rain. We will do our best to leave it until the morning of the event date to give you maximum possibility of the hire going ahead. If we do decide to cancel the event, you will not be charged and have the chance to choose another date if available. The deposit payment will still stand. If you decide to cancel the booking, there may be costs involved depending on how long in advanced we are informed (refer to cancellations).

3.8 If we are in a lockdown the date of your event, you will receive a full refund including your deposit.

EQUIPMENT

4.1 All equipment remains the property of We Love Occasions at all times.
4.2 We Love Occasions reserves the right to substitute hired equipment with equipment of a similar type and value without notice in the event of previous damage or loss of booked equipment.
4.3 All sizes quoted are approximate.
4.4 It is the responsibility of the Hirer to ensure the equipment is fully supervised by a responsible adult at all times.
4.5 NO persons are allowed to enter/move/tamper with the equipment at ANY TIME without a member of the We Love Occasions team present unless agreed in writing
4.6 NO persons under the influence of alcohol, drugs or any other intoxicating substance are allowed the use the equipment.
4.7 NO food, drink, gum, pets, toys and/or sharp implements are permitted when using the last man standing, LED dance floors, Magic Mirror or inside the photo booths including around the props and the guest book table.
4.8 Users of the equipment must remove glasses, jewellery, badges, any long necklaces, buckles or sharp objects.
4.9 Ensure equipment is not overcrowded. It is recommended a maximum number of 3 users can enter the photo booth or use the 360 platform at one time. Limit numbers according to the age and size of guests using them. Try to avoid large guests and small children from using the equipment at the same time.
4.10 Prevent horseplay and ensure guests are not pushing, colliding, fighting or behaving in a manner likely to injure or cause distress to others.
4.11 NO climbing on the seats, roof or supporting poles of the Photo booth, Magic Mirror, DJ stand or sweet carts. If applicable, users must not sit or lean on guest book table or the LED letters and numbers.
4.12 NO silly string, streamers, party poppers or similar ink based products in or near the equipment. These such products can stain and are difficult to remove. The cost of cleaning will be charged to the client at £40 per hour plus costs. If not removable full replacement/repair costs are liable to the client. Face paint is not permitted. Staining left by face paint will result in the client being invoiced for cleaning or repair.
4.13 Users are not permitted on/in the equipment during set up until the attendant(s) have agreed it is safe to use, nor are users permitted around the equipment during the time of pack down.
4.14 Keep guests clear of all electrical connections, computers, TVs and extension leads.
4.15 The client is not permitted to move the equipment from the position it is erected/set up once the attendant(s) has left the premises unless agreed otherwise in writing..
4.16 The equipment will be supplied to the client in a clean condition and it is the responsibility of the client to ensure no one uses the equipment until the attendant arrives, if such arrangements have been made in regards to early setup. Failure to do so will result in the company charging the client per damaged piece of equipment.
4.17 We Love Occasions reserve the right to refuse the use of the equipment to any person contravening any of the clauses above.
4.18 We Love Occasions cannot and will not force guests into displaying their photos in the guestbook, and takes no responsibility for the fullness of the guestbook at the end of the agreed hire period.
4.23 Other than our white bouncy castle none of the equipment supplied by We Love Occasions can be run off of a generator of any kind unless agreed otherwise in writing. Failure to inform We Love Occasions of any power directly or indirectly from a generator will result in the equipment not being set up and no refund will be given.

4.24 When hiring our 3D Infinity Dance Floor or Seamless Dance Floors, please note that the dance floors are reflective like a mirror and everyone should be made aware by the client. We will not be responsible for any issues caused.

4.25 Our 3D Infinity Dance Floor does have flashing lights and everyone should be made aware by the client. We will not be responsible for any issues caused.

4.26 Our 3D Infinity Dance Floor has power units that are positioned on one side of the dance floor, so a space of at least 1m x 1m must be made for the units within 1m of the dance floor.

4.27 When hiring any of our Seamless Dance Floors the surface must be a flat and level surface.

4.28 When hiring any of our Seamless Dance Floors you must inform us if it's to be laid on carpet.

4.29 When hiring any of our Seamless Dance Floors there is a possibility that gaps of up to 6mm may be seen between panels due to the tolerance of the material.

SITE LOCATION, FACILITIES AND CONDUCT

5.1 Please ensure the areas provided for our equipment is undercover and no less than 2.7m wide x 2m deep x 2.2m high for all of our Photo Booth equipment individually. The bouncy castles, last man standing and Dance Floor sizes differ. The bouncy castle will require a minimum size of 20ft x 20ft square and a minimum height of 14ft. The last man standing will require a minimum size of 32ft x 32ft square and a minimum height of 14ft. Our Dance floors require a minimum of 2ft spacing all around depending on the size hired.

5.2 When set up, the equipment is unable to be moved to another area and will remain in 1 area for the duration of the hire unless otherwise agreed.

5.3 No smoking or barbecues near Inflatables, our Marquee or any other equipment at any time.

5.4 Do not allow anyone to be on the Inflatable during inflation or deflation as this can be extremely dangerous.

5.5 If the Inflatable is not being used for any part of the day or adequate supervision is not available, please ensure that all children are well away from the castle and that the fan is switched off at the mains, never walk away from a bouncy castle until it has fully deflated as small children can be caught up inside, this can lead to suffocation.

5.6 Do not allow anyone to bounce on the front safety step as a child could easily bounce off the inflatable and get hurt. The step is there to assist users in getting on or off only.

5.7 Ensure that no one with a history of back or neck problems or who suffers from a heart complaint uses the Inflatable or anyone who is feeling unwell or suffering the effects of alcohol or drugs & Pregnant women may not use any equipment at anytime. In the event that someone is injured, remove all other children from the unit as safely & as smoothly as possible and DO NOT move the individual, leave the inflatable switched on and dial 999 immediately for advise.

5.8 Ensure that Children are not attempting somersaults and are clothed appropriately.

5.9 Client is responsible for ensuring adequate and safe 240V AC mains supply to be available on delivery and throughout the hire period within 20 meters of the inflatables and 5 meters of all other items. The company cannot be held liable for power cuts/loss of power. No compensation will be paid for loss of use.

5.10 Should an adequate distance of power supply not be supplied it is down to the client to provide safe & electrically tested utilities in order to operate the equipment for the duration of hire.

5.11 It is the client’s responsibility to ensure the Photo booth, Magic Mirror, Selfie Pod and 360 booth computer units are not accessed or tampered with throughout the whole duration of the equipment being set up, during the duration of the hire times and during pack down. Any loss of use of the equipment will not be compensated unless due to the fault of the company. Compensation is excluding any delivery charges, based on the event times/ location. No further compensation will be paid irrespective of expenses occurred.

5.12 The company reserves the right to refuse delivery if the venue or site is deemed to be unsuitable by our delivery personnel or if the client has failed to notify the company of any delivery obstructions such as hard floors, stairs, boats to access the venue or excessive loading distances from our vehicle to the setup site. In such a case no refund will be given and the full hire fee will be due.

5.13 The client is responsible for ensuring that suitable security and crowd control measures are in place prior to the start of the event.

5.14 We Love Occasions reserves the right to cease operation and remove hired equipment from the site if at any time a representative of the company feels that guests or clients conduct endangers the safety of guests, clients, themselves or the safety of the equipment. In such cases, no refund will be given and full contracted fees will be due to us.

5.15 It is the client’s responsibility to ensure guests of the equipment must take photos and videos with feet firmly on the floor & hands placed on laps when using the Photo booth, Magic Mirror and 360 booth. A maximum of 3 users can use the equipment at one time, any more users than the maximum amount entitle the users to ensure that all parties are safe whilst using the equipment at all times.

5.16 If a representative of the company feels that any user will potentially or has jeopardised the safety of others and/or the equipment they hold full rights to cease the user from re-using the equipment to ensure the risk is kept to a minimum throughout the event.

5.17 It is the clients responsibility to ensure the equipment hired can fit through the access points, such as doors to the area the equipment is being setup in.

5.18 We cannot be responsible for any loss of connections for equipment reliant on Wi-FI or Cellular data.

5.19 It is the clients responsibility to ensure all equipment hired has a flat level surface for us to setup on. We will not be responsible for any loss of power due or lighting due to an unlevel surface.

5.20 There will be an additional cost for bookings within the congestion charge.

LIABILITY AND INSURANCE

6.1 The company is insured for £5,000,000 public liability insurance and is happy to provide a copy of the insurance certificate upon the client’s request.
6.2 The client agrees to indemnify the company for any damage or theft of We Love Occasions equipment whilst on hire. Should the client not indemnify the company of such damage/theft within 7 days, the company will commence legal proceedings.
6.3 We Love Occasions accepts no liability for any damage or loss of personal property and or any injury arising from the use of the hired equipment.

COPYRIGHT

7.1 The customer agrees to, and understands the following:
All persons using We Love Occasions equipment, at the customer’s event hereby gives to We Love Occasions, the right and permission to copyright and to reproduce or otherwise use any photographic portraits, pictures or videos of any equipment user. Such use may include, but is not limited to, any social media site or magazine/leaflet for the purposes of illustration, art, promotion, advertising, trade, or for any other purpose.
Once in the public domain, the company accepts no liability for the further use, or misuse, of the photographic portraits mentioned in clause 8.1 below, by any third party.
7.2 All marketing material, content on the We Love Occasions website (www.weloveoccasions.co.uk) and material used on other platforms of marketing such as, but not limited to, social media is original content from We Love Occasions and the Director (Marvin Callender) are the authors and copyright holders. Use of copyright protected material without permission is illegal under copyright laws and will be followed with legal proceedings.

MISCELLANEOUS TERMS

8.1 If any provision of these terms shall be unlawful, void, or for any reason unenforceable under contract law, then that provision, or portion thereof, shall be deemed separate from the rest of this contract and shall not affect the validity and enforceability of any remaining provisions, or portions thereof.

REFUND

9.1 Refunds will be limited to 50% of the total hire price.
9.2 Hours lost due to an error of the company will be refunded at the cost of £50 per hour. Hours will be added onto the end of the hire to ensure that total hire time will still be carried out.
9.3 No compensation will be paid to the client in respect of inconvenience but will be due to a refund of lost hire time.
9.4 Any damage to We Love Occasions equipment due to a fault of the venue, client or guests will not result in compensation or refund.
9.5 Errors due to printers not processing photos for guests to take away at the event will be set to a refund of £50. Photos will be printed and sent after the event with the agreed amount of prints.
9.6 Guestbooks that are damaged at the event will be charged at £20 if a replacement is required.

9.7 All deposits are non refundable

9.8 No compensation will be paid if the hirer has not informed us in writing/email of the correct access times, setup times or collection times.

CHILDREN SUPERVISION

10.1 Children under the age of 12 must be accompanied by an adult when around the equipment. This ensures the safety of equipment and the children.
10.2 It is the clients responsibility to ensure that children under the age of 12 are not around the set-up area of the booth during building and dismantling.

ATTENDANTS

11.1 Two attendants come as standard with most of our equipment. The company holds the right to send 1 member of staff with specific equipment when deemed appropriate.

CONTRACTED TIMES

12.1 On the occasion that the event overruns into the hire period start time that has been previously agreed, the company allows a 15 minutes buffer time before the hire period begins. The hire will be continued up to 15 minutes after the agreed start time should the event overrun no matter the amount of time that has been overrun.

12.2 If the hirer has provided the incorrect access times, start times or collection times and we are unable to accommodate them due to prior bookings, no refunds will be issued and the full balance remains.

12.3 We will ask for your hire start time and the earliest time we can gain access to your venue to setup. We will work between the two times to arrive and setup ready for your hire start time. If the hirer provides us with the incorrect access time and we are unable to accommodate them due to prior bookings, no refunds will be issued and the full balance remains.

PHOTOS & VIDEOS

13.1 When using any of our the photo or video booths the client and guests then accepts full responsibility that photos and videos will be uploaded. It is the clients responsibility to ensure that guests are happy with photos and videos that are uploaded. Any photos and videos that are not deemed appropriate must be agreed with the client to be removed.

BOUNCY CASTLES & LAST MAN STANDING

14.1 Please note that all persons using the equipment do so at their own risk. The Client is fully responsible / liable for any damage or injury occurring from or as a result of misuse or reckless use. These guidelines are for the safety of all people using this equipment and it is the sole responsibility of the Client to ensure they are adhered to. The Company cannot accept any responsibility for any injury, loss or damage caused to anyone using this equipment either through accident, neglect or misuse.
14.2 NO shoes, food, drink, gum, pets, toys and/or sharp implements are permitted on the equipment, including mats.
14.3 Ensure equipment is not overcrowded. It is recommend a maximum number of 4 adults or 6 children at any one time. Limit numbers according to the age and size of people using it. Try to avoid large and small people from using it at the same time.
14.4 NO climbing on the sides or supporting beams of the inflatable.
14.5 Users who are, or have suffered from Neck, Back, or Heart conditions, feel unwell, or who are Pregnant are not permitted on equipment.
14.6 Do NOT allow any heat/fire sources including cigarettes, BBQ’s, fires, heaters or similar, on or near the equipment.

14.7 Do not allow anyone to be on the Inflatable during inflation or deflation as this can be extremely dangerous.

14.8 If the Inflatable is not being used for any part of the day or adequate supervision is not available, please ensure that all children are well away from the castle and that the fan is switched off at the mains, never walk away from a bouncy castle until it has fully deflated as small children can be caught up inside, this can lead to suffocation.

14.9 Do not allow anyone to bounce on the front safety step as a child could easily bounce off the inflatable and get hurt. The step is there to assist users in getting on or off only.

14.10 Ensure that Children are not attempting somersaults and are clothed appropriately.

14.11 In the event that the fan stops working, ensure all users get off the inflatable immediately to avoid suffocation. The most common faults are the fan tipping over or the air vents becoming obstructed by leafs, debris & carrier bags etc, if this is the case, then please remove the obstruction. If the problem persists, then please contact us immediately.

14.12 For outdoor hires, the equipment must not be used in heavy rain or windy conditions. In the event of rain, remove all users from the equipment until the rain has past, then dry off any water with a towel, before use continues. The industry recommends a maximum wind speed of Force 5 on the Beaufort scale of 28 – 38 kph (19-24 mph) when using inflatables. Force 5 is a fresh breeze when small trees and leaves begin to sway, whereas Force 6 is a strong breeze when large branches are in motion, whistling can be heard in telephone lines and umbrellas can only be handled with difficulty. 14.13 Check periodically that the inflatable is securely tied to the fan and the stakes or anchorage is still securing the equipment to the ground where applicable. If at all in doubt – do not use the equipment and call the Company.
14.14 The equipment will be supplied to the Client in a clean condition and it is the responsibility of the Client to have the equipment in the same condition at time of collection. Failure to do so will result in the Company charging the Client at £30 per hour to clean the inflatable.
14.15 The Client agrees to pay the full cost of repair, including carriage to and from the manufacturer, and any loss of bookings for any damage caused to the equipment, whether malicious or accidental, whether by human, animal or other, other than wear and tear during the duration of the hire period.
14.16 The Client agrees to return all items at the end of the hire period. It is the Clients responsibility to ensure all items hired are available for collection; any lost, stolen or damaged items will be invoiced by the Company to the Client. The hirer MUST ensure that any persons collecting the equipment are representatives of the Company by requesting proof of the Booking ID number quoted on booking correspondence.
14.17 It is the Clients responsibility to be aware of all the laws and legislations regarding bouncy castles and to adhere to them completely.
14.18 The bouncy castle is strictly unable to go on concrete and will not be set up in the event that this term isn’t met. No refund will be given if the company has arrived at an event and an alternative location cannot be used. In the event that the client informs us of this before the event, and the castle can no longer be supplied a maximum refund of 50% of the agreed price charged will be paid back.

14.19 Please make us aware on arrival or before hand of any services laid under the desired site as we will not be held accountable for any damage to such services including drainage, gas, electrical and more. Our pegs that pin the castle down are 390mm long.

MARQUEES

15.1 It is the hirer’s responsibility to provide the company with the location of any underground services (gas, water, electricity etc) that could be damaged by marquee fixing spikes. The hirer will be responsible for any costs associated with the repair to unmarked/unidentified services and associated costs relating to their interruption resulting from not being identified to the company.

15.2 If extreme weather is forecast during the hire period we have the right to decline the erection and use of the structure. This is for the safety of all concerned. A wind management plan will be supplied to the Hirer and it is their responsibility to ensure that this is followed. The Company monitors wind forecast daily and if gusting winds which exceed those set out in our wind management plan are predicted we will endeavour to contact the Hirer and give advice on action to be taken. If the wind management plan is not followed the Hirer will be liable for any damages, claims by third parties or costs as a result of this not being followed.

15.3 Any equipment found damaged or missing during the hire period will be repaired or replaced at the hirer’s expense. No items or objects should be stuck to, fixed to, or suspended from the marquee sides, roofs or framework. If tape is used anywhere on the marquee structure a minimum charge of £50 will be levied for cleaning any residue.

15.4 When the marquee has been erected and all exits or openings agreed, this should not be altered or tampered with in any way as this may render the structure unsafe.

15.5 It is expected that if flooring is ordered the ground will be suitably flat to accommodate the type of floor used. The company cannot be held responsible for any uneven finish to the floor caused by pitting or bumps on the surface beneath, the hirer should arrange to level surfaces as much as possible prior to marquee erection. If the marquee build is delayed or cancelled due to the site being ill prepared this may result in loss of the booking deposit and the Company cannot be held liable. Grass surfaces must be cut short and all debris including fouling by dogs must be removed prior to the build.
15.6 For the safety of all concerned, the hirer may not enter the structure during the time the Marquee is being built. The company cannot be held responsible for any injury or damage sustained by the public in or around the marquee during the hire period. Under no circumstances should the hirer alter or tamper with any electrical appliance or power lead following installation. This includes extension cables. The hirer should not “plug in” any electrical appliance or power lead to existing extension cables without first discussing this with a Company representative as this can lead to mains power being overloaded resulting in tripped fuse boxes.

15.7 The company will place all furniture inside the completed marquee. It is the hirer’s responsibility to arrange the layout of tables and chairs etc. The hirer must ensure that tables and chairs are folded and returned to the delivery area and are stacked for collection following use. A minimum charge of £50 will be levied to the hirer for non-compliance in this instance. All furniture will be counted in and out with any shortages charged to the hirer.

15.8 The hirer shall not use cooking equipment, lighting or electrical appliances or decorate the interior/exterior of the marquee without prior consent from the company. Any damage/soiling resulting in such use that may require repair or cleaning will be charged to the hirer.

15.9 The Company will not accept Liability and you may be liable for part/full hire fee:

  1. When the marquee build is delayed or cancelled due to the site being inaccessible or ill prepared or in any instance where the site is deemed unsafe by Company representatives.
  2. Delay or cancellation due to adverse weather conditions.
  3. Delay or cancellation due to the hirer not obtaining appropriate permission from the public or local authority.
  4. When water ballasts are used, any delay or cancellation due to no suitable water source being available. Suitable sources include a hydrant or fast flow mains supply. Household or domestic taps are not suitable.
  5. Charges may be applied where our staff are required to attend safety briefings or meetings before being permitted onto the site. We must be informed of this requirement at time of booking as this could result in delay or cancellation of the hire if the Company have no prior notification. Any costs associated with delay or cancellation will be passed to the hirer.

15.10 While every effort will be made by the company to carry out any order accepted, the full performance of it is subject to variation or cancellation by the company consequent upon Acts of God, War, Strikes, Riots, Lockouts or any other disturbances. Fire, Flood, Storm, Gale or Tempest restrictions on the use of Transport, Fuel or Power. Requisitioning Storage of material or transport or labour or any other cause beyond the control of the Company.

15.11 When hiring our Outdoor Marquee or Gaming setup we will not be responsible for the slow or non existent wi-fi. We suggest having at least a 20mb upload/download speed.

15.12 Please make us aware on arrival or before hand of any services laid under the desired site as we will not be held accountable for any damage to such services including drainage, gas, electrical and more. Our pegs that pin the castle down are 390mm long.

15.13 The hirer must provide at least two wall plug sockets within 10 meters of the Marquee setup.
